As an Executive Assistant, you will serve as a trusted operational partner to the VP/Head of Operations, driving executive effectiveness while managing studio production workflows, workplace logistics, and employee experience initiatives. Working at the intersection of leadership support and studio operations, you will anticipate needs, ensure seamless execution, and maintain an organized, productive environment for the team.

Your Responsibilities

Executive Partnership & Time Management: Maintain full ownership of executive calendars, proactively identifying conflicts or priorities to protect focus time and ensure executive readiness for internal and external engagements.
Travel, Expenses & Logistics: Arrange complex domestic and international travel, manage visa logistics, track travel expenses, and process purchase requisitions and budget reconciliations.
Event & Meeting Facilitation: Coordinate end-to-end logistics for leadership meetings, offsites, team events, and partner summits, including room setup, agendas, catering, and briefing materials.
Workplace Operations & Experience: Oversee studio workplace readiness, manage snack and beverage programs, maintain office supplies inventory, and ensure a welcoming, organized environment for employees and visitors.
Inventory & Shipping Management: Support studio logistics including shipping and receiving, swag distribution and inventory tracking, and coordination of vendor deliveries and procurement logistics.
Operational & Team Liaison: Serve as a key operational liaison between executive leadership, cross-functional partners, facilities, IT, and external stakeholders to facilitate smooth daily workflows.
Community & Culture Support: Partner with the broader EA SPORTS Executive Assistant and Operations communities to align on operational priorities, cover logistics, and foster an engaging team culture.

Your Qualifications

4+ years of experience in executive administration, production coordination, workplace operations, or a hybrid operational support role supporting senior leadership.
Proven ability to manage multiple complex priorities, maintain calm control under pressure, and rapidly adapt in a fast-paced environment.
Strong organizational, problem-solving, and time-management skills with exceptional attention to detail.
Excellent written and verbal communication skills with impeccable discretion and ability to maintain confidentiality.
Customer-focused mindset with a passion for creating a high-quality employee and studio experience.
Experience with travel coordination, expense management systems, purchasing/procurement, and event logistics.
Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Google Workspace, and collaboration tools such as Microsoft Teams or Slack.
Ability to safely move/transport event supplies or operational inventory as needed (up to 25 lbs).
