About the role
Working at the intersection of Production and Finance, you’ll provide vital operational support through our in-house system, CETA. You'll ensure project data is accurately set up, maintained, and reflected throughout the entire project lifecycle. By collaborating closely with Production and Finance teams across our UK IA offices, you'll help maintain the smooth running of project administration, billing, and data integrity.
What you’ll do
Maintain and update project and artist records in CETA, ensuring all assignments, costs, and statuses are accurate.
Support the setup of new projects by verifying required fields, structures, and documentation.
Monitor project activity to ensure we're capturing POs, revenue data, and billing information accurately.
Collaborate with Production teams to resolve data gaps or inconsistencies that might impact our reporting.
Assist the Finance team with billing validation and processing freelance or outsource invoices.
Coordinate with teams across our offices to ensure consistency in project setup and revenue sharing.
Train producers in CETA and act as a helpful point of contact for queries regarding margins and cost reporting.
What we’re looking for
Previous experience in a production, project coordination, or operational support role within a creative environment.
A high level of accuracy and a keen eye for detail when working with project and financial data.
Experience working with project management or production systems (knowledge of CETA is a huge plus).
Strong organisational skills and the ability to manage multiple projects and deadlines.
Excellent communication skills and a human approach to collaborating across different departments.
You might also have
Experience with Excel or Google Sheets at an intermediate level.
A background in VFX, media, or advertising production.
