Job Overview
Keywords Studios India is looking for experienced Senior Executive - Administration at Bangalore location.
The Role would require managing below mentioned Responsibilities:
Requirements
A bachelor’s degree from a reputed University
Candidate must have 5-7 years of experience in Adminstration.
Candidate should be Open to work in Flexible Shifts.
Supervise & manage day-to-day operations of the administrative department.
Analysing existing processes and re-designing the same for enhancing operational efficiency and achieving maximum cost savings.
Ensuring effective rendering of services including Housekeeping, Canteen, Security, Travel, Office Equipment, etc. to enable smooth flow of day-to-day operations.
Identifying, finalizing and managing the vendor for arranging occasional special food for festivals and team get-togethers.
Plan and coordinate administrative procedures and systems and devise ways to streamline processes.
Work with finance and management team to set budgets, monitor spending, and manage expenses.
Planning, creating and maintaining Facility Infrastructure for office buildings, etc.
Ensuring proper maintenance of building services (Electrical, Air-Conditioning, Plumbing, Landscaping, Civil Works, Generators, office & Telecom equipment’s, etc.)
Monitoring and maintenance of facilities and AMC.
Auditing of facilities and implementing appropriate measures.
Ensure appropriate Vendor selection, drafting scope, SLA’s and their monitoring & governance, addressing all operational challenges.
Ensure outsourced facilities service vendors meet office requirement and be the single point of contact for facility vendors and contracted employees.
Work on the quotations and comparative sheet and finalize the vendors as per the quality and cost parameters designed by company.
Making of Purchase Requisition, Purchase Orders, Invoices, etc., for all Admin related activities.
Monitoring the services of House Keeping, Hospitality, Client Visits, Security, Movement of Assets, Movement of Systems, and Interior Renovations within the premises and Administration.
Liaising with respective govt. agencies for smooth functioning of the office/adhering compliance requirements.
Managing/forecasting annual administrative budget to ensure effective delivery of services.
Identify contracts that are maturing / expiring and plan appropriate allocation of these contracts in advance.
Managing complete asset details of the office premise and carryout budgetary planning for maintenance & repair works to ensure proper upkeep of the properties.
Serve as the liaison between administrative personnel and senior management, communicating needs and concerns so they can be handled expeditiously
Responsible to share the MIS with management on savings and cost optimisation and share the information about Cost Effectiveness and cost Control Initiatives to reduce the cost.
Accountable for all travel arrangements and visa processing as required.
Accountable for effective working of security personnel and implementation of laid down procedures and system.
Finalisation, management and communication of all Health, life Insurance, theft security etc policies for employees and organisation.
Handling employee grievance towards administrative requirements.
Manage and coordinate employee transportation, including vendor handling, route planning, and ensuring timely and safe commute arrangements.
