Our Administration team is looking for a Junior Administration & Workplace Specialist who’s ready to take ownership of how our offices function and feel.
We manage our Warsaw HQ and coworking spaces in Kraków and Wrocław. Our goal? To create an office environment that supports focus, comfort, and collaboration - while also making everyday things just work smoothly. From coffee machines and canteens to office design and renovation projects, we’re here to make sure everyone has what they need to do their best work.

Daily Responsibilities
Handling day-to-day office operations to ensure a smooth and efficient work environment,
Managing office supplies and equipment, including furniture, stationery, and kitchen supplies,
Coordinating with external vendors (cleaning services, catering, technical support),
Supervising office maintenance, renovations, and reorganization projects,
Supporting office space logistics, including seating plans and office moves,
Sourcing offers and negotiating terms with suppliers to ensure cost-effective services,
Support with contracts and ensuring proper documentation,
Processing administrative invoices and reconciling company credit card expenses,
Implementing and maintaining internal office procedures,
Supporting internal communication,
Support with organizing internal and external meetings and company events,
Support office space arrangements and minor renovation or reorganization projects,
Support operations in Kraków and Wrocław working areas, including vendor coordination.
Minimum 1 year of experience in office administration or workplace operations,
Strong organizational and multitasking skills with high attention to detail,
Proactive, solution-oriented approach to daily office challenges,
Knowledge of MS Office,
Experience with Jira or similar ticketing/workflow systems is a plus,
Very good communication skills and professional attitude,
Polish and English proficiency (spoken and written; English at B2 level or higher),
Willingness to work primarily on-site in Warsaw.

Estimated pay range for this position: 6 200 – 8 600 PLN gross monthly.
Final offers are dependent on job-related factors like experience and qualifications.
Type of contract: Employment Contract ("Umowa o pracę").
